The challenge

Siloed information across the enterprise’s global network created operational challenges and inefficiencies, leading to excessive overtime, low morale, high employee turnover, and increased costs. The organisation’s transition and changes to Enterprise Resource Planning (ERP) further amplified these challenges, as departments developed individual workarounds to ensure life-saving medication was delivered without delays.
The issues we encountered:
- Constant changes to production planning schedules, undermining trust in available data
- Lack of one clear source of truth for reliable, up-to-date process documentation
- Loss of key staff and therefore, of critical enterprise knowledge
- Disjointed communication across dispersed teams working in multiple global locations
- Migration and change from Oracle to SAP, adding to the high level of complexity

Streamlining supply chain operations with one trusted source of truth

- Discovery phase: We interviewed SMEs across the entire supply chain, including warehousing, planning, procurement, product management, and logistics, to gain a detailed understanding of global operations.
- Strategy phase: We developed an enterprise knowledge management strategy to standardise content across all locations.
- Documentation phase: We created a centralised process playbook hosted on SharePoint, featuring up-to-date standard operating procedures, shared calendars, and clear process flows linking to relevant policies.
- Pilot phase: We launched an initial pilot to test, measure, and refine the playbook before wider rollout.
- Ongoing support: We provided a strategic support plan to help maintain long-term results.
Our solution laid the groundwork for consistent knowledge sharing across a single platform: one designed to scale, adapt, and evolve with the organisation’s changing needs.
The results
Driving collaboration and transparency at scale with AI-ready content
The new centralised playbook quickly became the single source of truth for staff, strengthening collaboration, transparency, and trust across departments. By clearly outlining processes and governance, the playbook enabled the team to execute the supply chain plan with confidence and supported a more consistent, timely delivery of life-saving drugs.
While the primary focus of the project was to meet the immediate needs of the supply chain team, the content was also structured to be AI-ready. As business needs continue to evolve, in the long term, this approach has created opportunities to integrate AI agents in the future.
