Leveraging SAP expertise to boost ERP user adoption worldwide

We were approached by a global engineering group to discuss a challenging project supporting the rollout of a new enterprise resource planning (ERP) system for their Mining and Construction Logistics division.

The client required an eLearning and localization partner with deep SAP expertise to create role-based training that delivered the right knowledge at the right time. The goal was to equip German-, English-, and Swedish-speaking employees across multiple locations with focused, impactful experiences that optimised learning in the moment of need, regardless of their native language. With our instructional design and SAP Enable Now knowledge, we were ready to rise to the challenge.

Developing consistent, moment of need, learning experiences for a multilingual workforce

The client aimed to deliver consistent, role-based learning to a global workforce, regardless of their location. But achieving this vision came with challenges.

The issues we encountered:

  • While German, English, and Swedish were the initial focus, the methodology needed to be scalable across other languages.
  • In devising this methodology, the priority was to ensure that translated content was fully localized to the country in question and provided the same learning experience for all language users.
  • An additional consideration for the client was the fact that the company did not have licences for SAP Translation Hub. This required a custom workflow to match its capabilities.

Our input was vital in creating a bespoke process that combined translation memory technology with localization expertise.

The goal: minimise cost, maximise efficiency, meet tight deadlines, and enable full in-context review in SAP Enable Now—making sure all elements displayed correctly in all languages before go-live.

Here’s how we did it.

Implementing a scalable, quality-driven workflow

With our deep experience in SAP technology and a long-standing track record supporting global companies, we were able to work closely with the client’s in-house market experts to develop a five-step workflow covering terminology, file preparation, translation, in-context review, and engineering report.

Step 1: Terminology
To guarantee consistent use of terminology, we created a list of key English terms and then consulted with our translation team to find the best option for each term.

Step 2: File preparation
Content was exported from SAP Enable Now as XLF files and prepared in SDL Studio, enabling a faster and more efficient translation process.

Step 3: Translation
Native-speaking market experts lent their unique personal experience to approve our final suggestions as fit for purpose. Translations were completed in SDL Studio by our team of linguists. The translated content was then edited and proofread to ensure correct use of approved terminology, and consistency, as well as to check other important elements such as meaning, style, and glossary adherence.

Step 4: Engineering
Translated files were reimported into SAP Enable Now for integration and layout adjustments.

Step 5: Review
Localization engineers finalised initial checks and fixed any obvious design issues. Each individual screen was then reviewed in context to ascertain that localized content was displayed correctly and to make any necessary linguistic adjustments. Finally, our team completed an engineering report and a regression review to confirm all changes had been implemented.

These processes were carried out in line with ISO 17100, ensuring the finished files complied fully with the highest industry standard for quality assurance.

Setting a new standard for moment-of-need training

Our bespoke translation workflow delivered on the client’s brief, creating consistent, high-impact eLearning experiences in English, German and Swedish. This methodology now serves as a scalable model for future language rollouts, setting a new standard for localized and tailored training across the organisation.

Backed by our SAP Enable Now expertise and localization know-how, we were able to:

  • Develop and implement approved local-market terminology.
  • Combine translation memory technology and localization know-how to maximise reuse, minimise costs, and meet tight deadlines.
  • Ensure all elements in SAP Enable Now were correctly rendered and functionally sound.
  • Compile a comprehensive localization report to support future roll-outs.

With the successful delivery of this first phase, the client is now equipped to extend the training program globally—ensuring consistent, effective learning experiences for all users, regardless of language.
